Bilingual Scheduling & Intake Specialist

About the role

We are looking for a compassionate, reliable, and highly organized bilingual professional to manage the patient journey for a growing personal‑injury medical practice. Working remotely, you will handle scheduling, pre‑visit intake, documentation, and communication, acting as an extension of the physician.

Key responsibilities

• Manage end‑to‑end patient scheduling, send reminders, and track appointment changes.
• Conduct detailed phone intake calls 2‑3 days before appointments, document patient histories, and upload information to the practice system.
• Distribute and collect lien, Letter of Protection, consent, and signature forms via text or email, ensuring all documents are completed before visits.
• Monitor the clinic’s shared email inbox, respond to routine inquiries, and escalate messages to the physician when needed.
• Identify concerning symptoms using clinical guidance, direct emergencies to appropriate care, and escalate clinical concerns to the physician.
• Assist in documenting workflows, developing SOPs, and provide backup coverage for patient follow‑up and legal records tasks.

Required profile

• Compassionate and empathetic communication style.
• Highly organized with strong attention to detail.
• Reliable and able to work independently in a remote setting.
• Bilingual proficiency (English and a second language).
