Administrative Associate (San Cristobal)

About the role

The International Organization for Migration (IOM) is seeking an Administrative Associate to support the Táchira/Apure Sub‑Office in San Cristóbal, Venezuela. Working under the supervision of the Chief of Mission and the Head of the Sub‑Office, you will provide essential administrative and logistical assistance to ensure smooth operations for projects serving vulnerable migrant populations.

Key responsibilities

• Manage the supervisor’s calendar, schedule appointments, and coordinate meetings, trainings, and events.
• Receive visitors, screen telephone calls, and handle confidential or technical inquiries.
• Prepare meeting minutes, monitor follow‑up actions, and ensure timely distribution of documents.
• Arrange editing, translation, and proofreading of reports, publications, and correspondence.
• Process incoming and outgoing mail, draft responses, and perform quality‑control checks on outgoing documents.
• Provide logistical support for field operations, including coordination with implementing partners.

Required profile

• First‑tier internal candidates are preferred; female candidates are especially encouraged.
• Proven experience in administrative support within an international or humanitarian setting.
• Strong organizational skills and ability to handle sensitive information.
• Excellent written and verbal communication in English; knowledge of Spanish is an asset.
