Legal Intake & Client Communications Specialist

About the role

NeoWork is seeking a bilingual Legal Intake & Client Communications Specialist to join its remote‑first team. Based in Venezuela, you will be the first point of contact for prospective clients of a professional services practice, handling intake calls, gathering information, and ensuring a smooth handoff to attorneys.

Key responsibilities

• Conduct intake calls with prospective clients using firm scripts and procedures.
• Gather, verify, and organize client data in the practice management system.
• Schedule consultations, manage calendar logistics, and route leads to the appropriate attorney.
• Maintain detailed records in the CRM, flag conflicts of interest, jurisdictional issues, or matters outside firm scope.
• Provide phone and email support in both English and Spanish.
• Track intake metrics and report on pipeline status.

Required profile

• Bilingual fluency in English and Spanish (verbal and written).
• Minimum two years of experience in legal intake, legal administration, or a comparable client‑facing role.
• Strong organizational skills and attention to detail when handling sensitive information.
• Reliable internet connection and ability to work US business hours.

Required skills

• Proficiency with legal practice management systems such as LawMatics or Clio.
• Experience using CRM platforms for lead routing and record‑keeping.
