Patient Care Communications Specialist

About the role

We are seeking a polished, reliable, and patient‑focused Communications Specialist to be the voice of a growing chiropractic clinic. The role handles high‑volume patient interactions across phone, text, email, and scheduling platforms, creating a warm and professional experience.

Key responsibilities

• Answer high‑volume inbound patient calls promptly and professionally.
• Respond to patient texts, voicemails, emails, and fax‑related messages in a timely manner.
• Schedule new patient appointments, collect intake information, and manage existing appointments in MacPractice.
• Prioritize new patient inquiries and referral opportunities before routine rescheduling.
• Conduct follow‑up and reactivation outreach for inactive patients and convert inquiries into booked appointments.
• Maintain accurate patient records, scheduling notes, and communication documentation.
• De‑escalate patient concerns related to scheduling, billing, insurance, or frustrations while adhering to HIPAA standards.

Required profile

• Excellent spoken English with a clear, neutral accent.
• Strong written communication skills for SMS, email, and patient‑facing messages.
• Prior experience as a Virtual Medical Assistant, Medical Receptionist, Patient Communication Specialist, or similar healthcare support role.
• Comfortable handling high call volume in a fast‑paced clinic environment.
• Reliable, punctual, and proactive attendance communication.
• Own and work from a Mac OS device (MacBook, iMac, or Mac mini) with high‑speed wired internet.
• Flexibility to work assigned shifts, including Saturdays if needed.
