Medical Virtual Assistant – Remote, 30 hrs/week

About the role

We are looking for a highly capable Medical Virtual Assistant (MVA) to support the operational health of a busy chiropractic clinic. This remote, 30‑hour‑per‑week position is ideal for a proactive, detail‑oriented professional who can take ownership of key clinic workflows with minimal supervision.

Key responsibilities

• Verify patient insurance shortly after check‑in and ensure accurate documentation.
• Review denied claims, identify reasons, and assist with reprocessing to prevent repeat errors.
• Process Explanation of Benefits (EOB) documents, clear backlogs, and maintain accurate billing records.
• Resolve outstanding patient balances by tracking issues and coordinating next steps.
• Support claims workflows, including Cigna and Veterans Affairs claims, and escalate when necessary.
• Coordinate vendor payments, including check payments, ensuring timely completion.
• Monitor SOAP note completion, flag missing or delayed documentation, and communicate concerns.
• Track missed and canceled appointments, identify patterns affecting revenue and provider productivity.
• Prepare operational reports on balances, appointments, EOB backlogs, denied claims, and provide actionable insights.
• Facilitate communication between the provider, care team, and administrative staff to keep priorities aligned.
