Bilingual Scheduling & Intake Specialist

About the role

We are seeking a compassionate, reliable, and highly organized bilingual professional to join a growing personal injury medical practice. Working remotely, you will manage the patient journey from scheduling through pre‑visit intake, ensuring all required forms are completed and communication flows smoothly.

Key responsibilities

• Manage end‑to‑end patient scheduling, send reminders, and handle changes or cancellations.
• Conduct detailed phone intake calls 2‑3 days before appointments, ask structured medical questions, and document conversations.
• Send lien, Letter of Protection, consent, and signature forms via text or email and verify their completion.
• Monitor the clinic’s shared email inbox, respond to routine inquiries, and flag messages for physician escalation.
• Recognize concerning symptoms using clinical guidance and direct emergencies to appropriate care.
• Escalate clinical concerns or unusual situations to the physician as needed.
• Document workflows, help develop SOPs, and provide backup coverage for related roles.

Required profile

• Compassionate, reliable, and highly organized.
• Bilingual proficiency (English and Spanish) with strong communication skills.
• Experience in medical or healthcare scheduling and patient intake.
• Familiarity with personal injury liens, Letters of Protection, and related documentation.
