Administration and Finance Coordinator

About the role

The Administration and Finance Coordinator will support the day‑to‑day administrative, financial and operational functions of our regional business in Caracas. Working closely with the Regional Business Head, you will ensure smooth coordination of finance processes, travel logistics and internal‑external communications. This hybrid role combines remote work with regular on‑site meetings.

Key responsibilities

• Process invoices, payment requests, reimbursements, expense reports and account reconciliations.
• Assist with budgeting, cash‑flow monitoring, expense allocation and periodic management reporting.
• Maintain accurate financial records, databases and transaction documentation.
• Support accounts payable and receivable, identifying and resolving discrepancies.
• Coordinate business travel arrangements, itineraries, expense reporting and related documentation.
• Organise internal and external meetings, preparing agendas, presentations and follow‑up actions.
• Prepare spreadsheets, reports, briefing materials and other documents required by regional management.
• Assist with purchase orders, quotations, supplier and customer registration, contract records and commission tracking.

Required profile

• 2–5 years of experience in administration, finance or related business support roles.
• Proactive, organized and detail‑oriented with strong analytical abilities.
• Experience supporting commercial, sales or business development teams is a strong advantage.
• Ability to work independently and collaborate with internal departments, suppliers, customers and external partners.
