Transaction Coordinator

About the role

Midfield Realty is seeking a detail‑driven Transaction Coordinator to manage all paperwork, documentation, and closing processes for commercial real‑estate deals. You will be the primary point of contact for sellers, guiding each transaction from listing through closing.

Key responsibilities

• Serve as the seller’s single point of contact for all listing and closing documentation.
• Collect and organize seller financials and property information (T12, rent roll, P&L, CapEx history, leases, public records).
• Build and maintain the Listing Info Sheet, deal folder, data room, and CRM profile for each new listing.
• Schedule property photography, inspections, appraisals, and coordinate logistics with owners, buyers, lenders, and title companies.
• Manage incoming Letters of Intent, proof of funds, and offer terms.
• Verify financial figures during inspection periods and ensure all parties have required documents before closing.
• Send closing wiring instructions to the title company and notify internal sales teams upon deal completion.

Required profile

• Experience in real‑estate transaction coordination, closing coordination, escrow, title, or a related brokerage/back‑office role.
• Strong written and spoken English for direct communication with sellers, lenders, and title companies.
• Excellent organization, ability to juggle multiple deals and deadlines, and sharp attention to detail.

Required skills

• Proficiency with CRM systems (e.g., Follow Up Boss).
• Familiarity with task‑management platforms.
• Advanced use of spreadsheets.
• Google Drive / Google Workspace.
• DocuSign or similar e‑signature tools.
