Patient Care Communications Specialist

About the role

We are seeking a polished, reliable, and patient‑focused Communications Specialist to be the first point of contact for a growing chiropractic clinic. The role involves handling high‑volume phone, text, email, and scheduling interactions with current and prospective patients.

Key responsibilities

• Answer inbound patient calls, texts, voicemails, emails and fax messages promptly and professionally.
• Schedule new and existing patient appointments in MacPractice, collect intake information, and manage confirmations, cancellations and rescheduling.
• Prioritize new patient inquiries and referral opportunities, conduct follow‑up outreach for inactive patients, and help convert inquiries into booked appointments.
• Maintain accurate patient records, scheduling notes and communication documentation while protecting HIPAA privacy.
• De‑escalate patient concerns related to scheduling, billing, insurance or other frustrations and support missed‑call follow‑up workflows.

Required profile

• Excellent spoken English with a clear, neutral accent and strong written communication skills.
• Prior experience as a virtual medical assistant, medical receptionist, patient communication specialist or similar healthcare support role.
• Ability to handle high call volume, multitask across calls, texts, emails, voicemails, faxes and scheduling tasks.
• Reliable, punctual, proactive attendance communication and flexibility to work assigned shifts, including Saturdays.
• Own a Mac OS device (MacBook, iMac or Mac mini) and have reliable high‑speed wired internet.
