About the role

We are looking for a compassionate, reliable, and highly organized Bilingual Scheduling & Intake Specialist to support a growing personal‑injury medical practice. Working remotely, you will guide patients through the entire journey—from appointment scheduling to pre‑visit intake and documentation—while acting as an extension of the physician.

Key responsibilities

• Manage end‑to‑end patient scheduling, send reminders, and handle changes or cancellations.
• Conduct detailed phone intake calls 2‑3 days before appointments, ask structured medical questions, and document conversations.
• Distribute and collect lien, Letter of Protection, consent, and signature forms via text or email, ensuring all paperwork is uploaded before visits.
• Monitor the clinic’s shared email inbox, respond to routine inquiries, and flag messages that need physician escalation.
• Identify concerning symptoms using clinical protocols, direct emergencies to appropriate care, and escalate complex cases to the physician.
• Assist in documenting workflows, developing SOPs, and provide backup coverage for related specialist roles.
